Accounts Payable Specialist

The role of the Accounts Payable Specialist involves providing financial, administrative and clerical support to the organization. This position will give the right individual the opportunity to see many areas of accounting and set them up with a solid foundation for success as they grow their accounting career. This role reports to the Accounting Leadership

Primary Responsibilities:

  •  Review all invoices for appropriate documentation and approval prior to payment
  •  Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
  • Enter and upload invoices into system
  • Track expenses and process expense reports
  • Prepare and process electronic transfers and payments (via ACH/ Wire)
  • Create check run batch to pay
  • Post transactions to journals, ledgers and other records
  • Reconcile Accounts Payable transactions
  • Monitor accounts to ensure payments are up to date
  • Research and resolve invoice discrepancies and issues
  • Obtain W9s, update vendor module and file
  • Set up PO's per request
  • Assist in month end closing
  • Banking and Treasury Knowledge (not mandatory)
  • Assist Accounting Manager, Corporate Controller and Accounts Payable Manager at year end with 1099's

Job requirements

  •  A Bachelor degree in Accounting or Finance
  • Year related experience OR equivalent combination of experience and education. Prior internship is beneficial in Industry
  • Strong organizational skills; must be detail oriented
  • Experience in Microsoft Office, including Word, Excel, Access and accounting software system Intacct is preferred
  • Comfortable asking questions and ability to work well with others
  • Self-starter who relies on experience and judgment to plan and accomplish goals
  • Demonstrates consistency, flexibility and commitment to meet deadlines
  • Demonstrates planning, task organizing and execution skills
  • Excellent analytical skills
  • Excellent written and verbal communication skills and the ability to effectively deal with a variety of individuals.
  • Strong customer service skills and proven ability to work with both internal and external customers at all levels
